PURPOSE

The purpose of this procedure is to outline the way in which the company will undertake ongoing driver qualification checks to ensure that the company is not exposed to operational risk when transport activities are being undertaken on its behalf.

To ensure that authorised drivers remain qualified and able to safely drive company supplied vehicles or drive on company business the company will undertake a number of checks.

PROCEDURE

For all employees and non-employees authorised to drive company supplied vehicles or drive on company business the company will undertake a number of periodic checks, the results of which will be recorded in the individual’s Motor Vehicle Record (MVR).

DRIVING LICENCE

Every three months the supervising manager will visually sight the ‘original’ driving licence of every authorised driver under their control as well as the licences of their partners; photocopies will not be acceptable.

Failure to present a driving licence will immediately result in the suspension of driving privileges, the use of any company supplied vehicle or driving on company business.

Employees are required to immediately notify the company of any licence suspension, award of demerit points or pending action against themselves and/or their partner/dependents by the police and/or any other authorities.

Failure to do so will automatically trigger the suspension of driving privileges and may result in the termination of employment.

An assessment will be made by the supervising manager as to whether there has been any change in the approved driver’s risk history suggesting that he or she presents a risk to the organisation and the public in general.

Where the assessment identifies an increased level of risk then a full evaluation will be undertaken by a safety review committee which will include the employee’s supervising manager.

The safety review committee assessment will advise the action to be taken with the authorised driver.

Under no circumstance will no action be taken. At a minimum a letter must be issued to the driver concerned, and a copy placed in the individual’s MVR, identifying what behaviour is considered acceptable and the consequences of continued or repeated negative outcomes which include the suspension of driving privileges and the possible termination of employment.

Where deemed necessary by the company remedial training will be undertaken by the approved driver.

Where an employee has a change in their job function, a check must be undertaken by their supervising manager to ensure that any changes to employee’s position, responsibility and function that require them to drive at a higher or expanded level above their present authorised level are identified.

Where such an upgrade is required, a driver skill assessment evaluation will be undertaken. The type and level of the test/evaluation will be dependent on the nature of the driving task to be performed. All new approved drivers, whether employees or employee family members, will undergo a practical driver skills assessment.

For Tool of Trade, specialist and heavy duty vehicles a qualified driver trainer assessor will be used.

An assessment will be made as to whether or not the approved driver will require training before being authorised to drive a company vehicle or to drive on company business.

Where the employee requires training, that training will be arranged. Where an employee’s partner or family member requires training then their driving privileges will be withheld until the training has been completed and the person involved has undergone a successful driver skills assessment.

EYESIGHT TESTING

Employees undertaking driving activities on behalf of the company will undergo an eye test once a year.

Approved drivers who have been prescribed sight aids (glasses, contact lenses, etc) must use them when driving on company business.
